The Eastern Savings Bank purchased the Macrosoft – Synergy product as an archival/retrieval solution for the storage and retrieval of various documentation created throughout their organization. Eastern Savings has contracted with QAI to scan and convert the individual loan files for upload into the document management system. The loan files are composed of 750,000 pages in approximately 6000 loan files. The loan documents consist of pages ranging from 8.5 x 11 to legal size with approximately one hundred and twenty five pages per loan file. The Eastern Savings Bank has prepared the documents to a “scan ready state” by removing all staples and bindings and purging those non-desired documents from each file.
Each of the loan files is to have one subordinate index: the Account Number. These index criteria will be used to populate the Synergy program for retrieval of the loan files by the end user. The index will be attached as a cover page for ease of identification and uniformity during scanning and indexing.
Quality Associates also prepared an electronic storage plan to address the Eastern Savings Bank network environment and storage capacity for delivery of the image files. Eastern Savings has deployed the electronic document management system to improve their customer service, reduce storage space requirements and consolidate variability in records allocation.
